I am just having a practice at entering dockets and trying to track the con note pallets. Firstly it is telling me that the on/offs are inconsistent with the trading partners. I don’t understand what this means. How do I then tell the computer that I want to track con notes?

Inconsistent Trading Partners Warning

Although the In & Out fields can play a part in con note tracing, the warning about inconsistent trading partners is not really related to con note tracing.

There are two options for interpreting the In/Out fields and when tracing con notes you should be set up as a "carrier", meaning if you go "in" to the customer with 10 pallets and "out" with none, then the customer owes you 10 pallets. This means the customer needs to be the Sending Trading Partner and your depot is the Receiving T/P. If the trading partners are the other way around they are inconsistent with the In/Out fields and you get the warning and offer to switch them.

If it makes more sense for you to operate as a "warehouse" (you can set this in the Customise form, opened from the Movements form), then when a customer brings 10 pallets "in" to you and takes none "out, it's a transfer on or an exchange on and you owe 10 pallets to the customer.

In & Out can be used for any kind of movement, but they are typically used for recording exchanges. Especially when you are keying off a run sheet from a local delivery driver. The Sending Trading Partner can be set to your depot (location) by default, then you only need to enter the customer as the Receiving Trading Partner and the In/Out quantities. This makes for rapid data entry, leaving it to the program to switch the trading partners when necessary.


Tracing Con Notes

Tracing con notes is simply triggered whenever you enter both a con note and an action ("Pickup" or "Delivery" ). If both of these fields are entered the Trace Quantity and Untraced Quantity are set automatically.

You can override the Trace Quantity if the program guesses it wrong. For pickups, Trace Quantity is set to the Out quantity because that is what you take out of the customer. For deliveries it is set to the In quantity. If In/Out are not used the Trace Quantity is simply set to the Quantity.

Untraced Quantity is reduced when you tick opposite transactions in the Traced Movements tab below. The Untraced Quantity of the other transaction is also reduced in line with the current record.
